Workday

The normal workday is eight 8 hours. Additional time breaks of a total of 1 hour (30 minutes lunch + 2 tea breaks of 15 minutes) are to be accounted for daily over and above the normal work hours. While you are expected to work the number of hours stated above, any project or deadline for that particular day or week that needs to be completed will necessarily entail additional hours to be put in which does not provide for additional compensation.

Compensation for Work on Holidays

Attendance at the work place (In excess of 4 hours) on a holiday for additional work, only performed when necessary and approved in advance by your department head will entail a compensatory off which has to be claimed in the subsequent week.

All attendance on holidays for completion of pending work schedules assigned during the week and those that are specifically assigned as organizational activities are not entitled to this benefit

Personnel Records

It is important that the personnel records of Web Access be accurate at all times. In order to avoid issues or compromising your benefit eligibility, Web Access expects that employees will promptly notify appropriate personnel representative of any change in name, home address, telephone number, marital status, number of dependents, or any other pertinent information, which may change.

Attendance Muster & Time Logged

Web Access employees must sign in the Attendance Muster (ALARM) as required by the Mumbai Shops and Establishments Act before the beginning of their work shift. Any digression from the above requirements could result in a reprimand to the employee. You are also required to validate your entry and exit times using the web based attendance system when you begin work and leave for the day. You are not allowed to sign in for another employee. Any violation found out will be severely dealt with.

Attendance

Employees are expected to arrive at work before they are scheduled to start and be at their workstation productively engaged in Web Access' business by the scheduled start time. All time off must be requested in advance and submitted in the online ALARM System, as outlined in the appropriate categories, except sick leave.

Timings

Web Access has a variable timings schedule wherein teams are allowed to choose their particular time schedule Day Begins (9.00 or 10.00) - Day Ends (6.00 or 7.00). All chosen timings are valid for that particular month onwards and for the entire month. All timing changes need to be approved by the supervisor. Timings for a particular project will have precedence over individual timings and all members involved with the project will be assigned the timings allotted to the project team. Web Access views attendance as one of the most important facets of your job performance review. All unapproved absences will be noted in the employee’s personnel file. Excessive unjustified absences will result in disciplinary action, up to and including termination.

Equipment Usage

Web Access will provide you with the necessary equipment to do your job. None of this equipment should be used for personal use, nor removed from the physical confines of Web Access - unless it is approved and your job specifically requires use of company equipment outside the physical facility of Web Access.

Computer equipment, including laptops, may not be used for personal use - this includes word processing and computing functions. It is forbidden to install any other programs to a company computer other than those specified in the software licensing policy and assigned to a particular machine without the written permission of the department head. These forbidden programs include, but are not limited to, games, online services, screen savers, etc. The copying of programs installed on the company computers is not allowed unless you are specifically directed to do so in writing by your supervisor.

The telephone lines at Web Access must remain open for business calls and to service our customers. Employees are requested to discourage any personal calls - incoming and outgoing - keeping it to the minimum.

Holidays

Company designated holidays and all Sundays.

Normally a 5 day working week is observed. However, due to project and organizational requirement, 6 day working weeks will be observed as and when required. Working on Saturday shall not qualify for granting compensatory off.

Web Access has a designated list of holidays for the year, which are announced at the beginning of each year.

Leave Types

Web Access employees are entitled to 7 (pro-rated over 1 year) paid days of leave in the 1st year of service. After the 1st anniversary of employment, you are entitled to 24 days which will be pro- rated to the financial calendar year i.e. 1st April - 31st March.

Normal Leave Rules

All leave unless sick must be pre-approved at least 3 weeks in advance by the supervisor. Leaves including sick and other should be complete and update to date and reflect in the ALARM system.

Note: Both Sick and Normal leave cannot be combined together in one leave application instance.

Leave is earned and credited on April 1st of each year, is available for use till March 31st the next year. Only up to six (6) days of leave may be carried over into the next year.

A leave schedule of all employees is to be completed for each department, by April 31st of each year. Changes may be made to the schedule with three weeks’ notice and the approval of the supervisor of the department. The leave request change must be submitted in ALARM to the supervisor three weeks prior to the anticipated leave date.

Leave Types

Every effort will be made by Web Access to accommodate leave requests, unless business circumstances do not permit. Leave may be taken in full days only. At any time as determined by the company employees who have taken more leave than actually accrued, the unearned leave will be deducted from the employee's final pay check.

Leave is calculated on the basis of “working days”. However, all unearned and unpaid leave is calculated on the basis of calendar days.

Medical Leave

Web Access has a Family and Medical Leave Policy, which is unpaid leave absence. Eligible employees must be employed by Web Access at least twelve (12) months.

Under the Leave Policy a total of up to twelve (12) weeks unpaid leave of absence is available to eligible employees under the following circumstances:

  • The birth of a child, but only within the first twelve months of the birth. This may not be used in conjunction with the Maternity Leave policy.
  • The placement of a child for adoption or other legal placement, within the first twelve months of the adoption or placement.
  • The need to care for a dependent, spouse or parent that has a serious medical condition.
  • The serious health condition of the requesting employee, who renders the employee unable to perform the functions of his/her position.

Upon return to Web Access at the end of the leave, the employee will be restored to his/her former position with the same rights, benefits, pay and other terms and conditions which existed prior to the leave; or to an equivalent position with equivalent rights, benefits, pay and other terms and conditions of employment.

The Company reserves the right to deny reinstatement to employees, where such denial is necessary to prevent injury to the company's operations. Employees will be notified of the company's intention to deny reinstatement as soon as a determination is made. In the event such employee decides not to return to work from unpaid leave, he/she will remain on leave for the balance of the leave period and then be terminated.

Employees will be required to use all accrued leave and holidays prior to being granted unpaid leave as outlined above for the birth or placement of a child, or to care for a seriously ill family member. The birth parent may choose to use the unpaid twelve weeks leave or to utilize the 12 week paid maternity leave, but cannot use both. Employees requesting leave for their own or an eligible family member's serious health condition will be required to provide medical certification.

Web Access may, at its discretion, require a second medical opinion on the health condition and periodic recertification’s at the Company's expense.

Other exceptions/provisions:

  • When both spouses work for Web Access, their aggregate leave in any twelve- month period may be limited to twelve weeks total, if the leave is taken for the birth or adoption of a child.
  • Intermittent or reduced leave may be taken in case of a serious health condition, either an employee's own or that of a child, spouse or parent, when medically necessary. The birth or placement of a child does not qualify for intermittent or reduced leave.
  • Employees out on unpaid leave will be required to contact their supervisors, at least every four (4) weeks, to report on their status and intention to return to work at the end of their leave.
  • Benefits based on an accrual basis (e.g. leave, longevity, etc.) will not accrue during unpaid leave under this policy.
  • While on unpaid leave, an employee will not accrue seniority or service time for eligibility for a performance review, salary review, salary review, adjustment or bonus.
  • Employment benefits, which are accrued prior to the unpaid leave, will not be lost.

An employee on leave for his/her own serious health condition will be required to provide certification from his/her health care provider that the employee is able to return to work and perform all of the functions of the job to which the employee is returning.

Maternity / Paternity Leave

Web Access employees are allowed up to twelve (12) weeks of maternity leave after they have given birth to or following the adoption of a child. Fathers will be allowed two (2) weeks of paternity leave for the above. During this time, such employees will be paid at 70% of their regular salary. Additional time may be allowed under extraordinary circumstances and with the permission of your supervisor and department head.
